Watermarks exist to stop documents being mistaken for something they are not. An unmarked draft contract circulating internally will eventually be treated as final by someone who did not read the covering email, and an unmarked internal memo forwarded outside the company carries no clue that it was never meant to travel. A word stamped across every page makes the document's status travel with it, which no email footer or filename can do.

The other common use is deterrence rather than status. Photographers watermark proofs, agencies watermark concept work before a client has paid, and consultants watermark sample reports. The mark does not make copying impossible — nothing can — but it makes casual reuse obvious, which is usually enough. The judgement to get right is opacity: too faint and it can be cropped or ignored, too strong and your reader cannot actually read the document.

How to Watermark

  3. Set the font size and rotation — a diagonal angle covers more of the page and is harder to crop out.
  4. Adjust the opacity until the mark is clearly visible but the underlying text stays readable.

Tips & common problems

Around 20-30% opacity is the sweet spot

Below that the mark is easy to overlook; above it the document becomes tiring to read. Check a text-heavy page rather than the cover before deciding.

Diagonal is harder to remove

A horizontal band across the middle can be cropped away. A rotated mark spanning corner to corner cannot be cropped without destroying the page.

Keep an unwatermarked master

The watermark is written permanently into the downloaded file. Always keep the clean original, because there is no removing the mark later.

Watermark last

Apply it after merging, reordering and compressing. Pages added afterwards will not carry the mark, which is exactly the inconsistency that makes people doubt a document.
