The most common reason people merge PDFs is that a single logical document arrived as several separate files. An expense claim is a good example: a dozen receipts scanned one at a time, each landing as its own PDF, when your finance team wants one attachment. The same thing happens with a signed contract where the signature page comes back separately from the body, or a mortgage application that needs payslips, bank statements and ID gathered into one submission.
It also solves a coordination problem. When four people each write a section of a report, you end up with four exports that need to become one deliverable with the sections in the right order. Merging beats copying and pasting between documents because nothing is re-rendered — fonts, tables, embedded images and page sizes all survive exactly as the original authors set them. Tips & common problems
Name files so they sort themselves
If you select many files at once, most browsers hand them over in filename order. Prefixing names with 01-, 02-, 03- means the list arrives already sorted and you can skip the dragging entirely.
Mixed page sizes stay mixed
Merging never resizes anything. A merged file containing A4 pages and US Letter pages keeps both, which can look uneven when printed. If you need one consistent size, standardise the source documents before merging.
A password-protected file will not merge
Encrypted PDFs cannot be read until they are unlocked. Run the file through Unlock PDF first, then merge the decrypted copy.
Watch the total size
Merging ten image-heavy scans produces one very large PDF, which may bounce off an email attachment limit. Merge first, then run the result through Compress PDF.
